Position Overview: We are seeking a dynamic and organized front office executive to join our team. This role is critical in ensuring smooth daily operations and providing exceptional support to our employees and visitors. The ideal candidate will be adaptable, detail-oriented, and possess excellent interpersonal skills.
Key Responsibilities:
Reception and Visitor Management:
- Greet and direct visitors
- Handle reception calls, resolve queries, and transfer calls
- Manage visitor log and security procedures
Administrative Support:
- Process legal letters and documents
- Coordinate flower arrangements for reception area
- Handle cake and bouquet orders for employee events
- Manage courier services
- Maintain and stock First Aid supplies
- Assist with interview arrangements
- Fulfill employee requests for stationery, business cards, and ID badges
Facilities Management:
- Oversee housekeeping and pantry services
- Coordinate with wellness team for yoga sessions and classes
- Manage petty cash
- Organize office events
- Oversee inventory of housekeeping and pantry items
- Coordinate new employee seat allocations
- Update space management software (Serraview)
Vendor Management:
- Process vendor invoices and maintain tracking systems
- Coordinate with accounts team for vendor payments and PO renewals
- Manage relationships with various vendors (e.g., plants, newspapers)
Financial Tasks:
- Assist with financial forecasting and accruals
- Create purchase orders for additional services
Miscellaneous:
- Maintain attendance records for support staff
- Handle ad-hoc requests from employees
Qualifications:
- Bachelor's degree in business administration, Hospitality, aviation or Facility Management, or related field
- 2+ years of experience in office administration or similar role
- Strong organizational and multitasking skills
- Excellent communication and interpersonal abilities
- Problem-solving mindset and ability to work independently
