WHAT THIS ROLE REALLY IS


This is not an assistant role.

This is not calendar management.

This is a structural apprenticeship inside a creative institution.

You will work directly with theCEO, COO, and CDO.

You will see:

  • How institutions are structured
  • How clarity protects ambition

this role builds the infrastructure that allows them to fire.

CORE RESPONSIBILITIES


1. Founder Operating Layer


  • Manage daily schedules of the CEO, COO, and CDO with structured clarity
  • Convert meetings into documented action plans
  • Track all Founder-level call-to-actions with zero leakage
  • Ensure strategic decisions translate into operational execution
  • Act as the structured bridge between Founders and teams
  • Assist in implementation of all SOPs issued by the COO

You are responsible for ensuring nothing discussed disappears.


2. Institutional Task & Systems Management


  • Maintain and optimize the company-wide Notion operating system
  • Track live project dashboards across all verticals
  • Monitor deliverables, timelines, and internal accountability
  • Identify operational gaps before they become bottlenecks
  • Ensure documentation discipline across departments

This role owns system hygiene.


3. Client & Execution Support


  • Act as secondary coordination support for client communication
  • Track revisions, timelines, and feedback loops
  • Prepare proposals, decks, reports, and internal summaries
  • Conduct industry and competitor research when required

You ensure client execution never feels chaotic.


4. Financial & Administrative Alignment


  • Coordinate with finance for invoices, collections, and project billing
  • Track payment statuses across active projects
  • Follow up internally or externally where required
  • Maintain financial visibility dashboards for leadership

Operations and money must always speak to each other.


5. Hiring & External Network Management


  • Support sourcing and coordination of freelancers and collaborators
  • Maintain structured database of all external resources
  • Track deliverables from external contributors
  • Ensure vendor alignment with internal timelines


6. Sales & Growth Support


  • Assist in preparing scopes of work and proposals
  • Maintain documentation of sales pipeline and follow-ups
  • Conduct background research for potential partnerships
  • Support growth initiatives initiated by the CEO


7. Founder Branding & LinkedIn Execution


  • Coordinate content calendar for CEOs LinkedIn
  • Track engagement and analytics
  • Assist in refining positioning narratives
  • Maintain consistency of leadership voice


8. Cross-Departmental Synchronization


  • Ensure communication clarity between design, strategy, sales, and finance
  • Track dependencies across teams
  • Provide weekly structured performance summaries to leadership

WHO IS THIS FOR?


This role demands operational maturity.

You should have:

  • At least 1 year of prior experience in operations, coordination, founders office, project management, or a startup environment
  • Strong structural thinking and workflow design ability
  • High level problem solving skills with the ability to anticipate issues before they escalate
  • Clear written communication and documentation ability
  • Strong time management and prioritization skills
  • Comfort handling multiple moving pieces without losing clarity
  • Ability to take ownership without constant supervision
  • Experience working with tools like Notion, Google Workspace, Sheets, and project trackers
  • Basic understanding of financial tracking such as invoices, collections, and reporting

You must be someone who:

  • Thinks in systems, not tasks
  • Documents decisions instead of relying on memory
  • Follows through until closure
  • Stays calm under pressure
  • Can handle confidential information responsibly
