Job Description:
The Finance Real Estate Accounting Assistant performs various functions in the organization.
Key Skills
- Property & Real Estate Accounting Manage full-cycle accounting for commercial and residential real estate properties, including property income/expenses, loan repayments, reconciliations, and insurance compliance tracking.
- Accounts Receivable & Billing Prepare and send invoices to clients, post payments, apply cash to customer accounts, ensure timely revenue recognition, and support billing accuracy in line with US contracts/agreements.
- Client Payment Follow-Ups & Collections Monitor outstanding receivables, communicate professionally with clients to resolve payment delays, and maintain DSO targets.
- Accounts Payable Processing Review vendor invoices, match with contracts/property expenses, process payments accurately, maintain approval workflows, and manage HOA payments, property taxes, and related notices.
- Working Knowledge of US GAAP Basics Apply accounting standards including accruals, prepaids, revenue recognition, expense classification, and preparation of accrual journal entries.
- Month-End Close Support & Financial Reporting Prepare journal entries, perform account reconciliations, analyze variances, prepare monthly financial statements, MIS reports, and ad-hoc management reports.
- Handling IRS & State Tax Notices Manage federal/state tax notices, coordinate with advisors, and ensure timely resolution of compliance matters.
- Loan & Balance Sheet Management Track property loan repayments, reconcile loan accounts, and ensure accuracy of balance sheet accounts.
- QuickBooks (QB) Proficiency Manage general ledger, AR/AP, financial reporting, and account reconciliations within QuickBooks.
- Advanced Excel Skills Use Pivot Tables, VLOOKUP/XLOOKUP, formulas, and data analysis for reconciliations, reporting, and financial analysis.
- Bank, Credit Card & Balance Sheet Reconciliations Perform reconciliations ensuring accuracy, completeness, and proper documentation.
- Audit & Tax Support Assist during internal/external audits and income tax filings, prepare schedules and supporting documentation.
- Compliance & Documentation Maintain property insurance compliance records, tax notices, accounting documentation, and internal control procedures.
- Attention to Detail & Data Accuracy Maintain high accuracy in accounting entries, reconciliations, financial reporting, and documentation standards.
Qualifications
- Bachelors degree in Accounting, Finance, Commerce, or a related field (required)
- M.Com, MBA (Finance), or related advanced degree (preferred)
- 25 years of experience supporting US accounting, finance, or real estate/property accounting
- Hands-on experience with QuickBooks (mandatory)
- Prior experience working with US businesses in finance, accounting, or real estate/property accounting roles (preferred)
- Experience managing commercial and residential real estate accounting (preferred)
- Professional certifications preferred (CA-Inter, CMA-Inter, or equivalent)
- Strong analytical skills with attention to detail and accuracy
- Excellent written and verbal communication skills
- Advanced Excel skills for reporting, reconciliations, and data analysis
- Ability to work independently and collaboratively in a fast-paced environment
- Strong organizational and documentation skills with a focus on compliance and reporting.
