Job Description

Job Opening: Executive Assistant (EA) Mumbai

Experience: 47 years Salary: 40,000 50,000 per month

Executive Assistant Key Result Areas (KRAs) (Personal)

1. Calendar & Personal Management

  • Ownership of calendar : Take full responsibility for leaderships calendar, sorting, prioritizing, and proactively managing commitments.
  • Conflict-free scheduling : Ensure zero overlaps and provide timely reminders for all appointments.
  • Logistics coordination : Arrange travel, accommodation, and personal errands with 95% accuracy and timeliness.
  • Strategic foresight : Anticipate upcoming priorities and block time for preparation and deep work.

2. Email Management

  • Inbox monitoring : Organize and track emails to ensure critical messages are responded to within 24 hours.
  • Prioritization : Categorize and flag emails by urgency, subject, and required action.
  • Professional communication : Draft, review, and send correspondence with errorfree language and tone.
  • Confidentiality : Handle sensitive information with discretion and maintain strict confidentiality.
  • SLA compliance : Achieve 90% compliance for email turnaround and followups.

3. Vendor Development & Vendor Management (Admin & Operations)

  • Vendor development : Identify, evaluate, and onboard new vendors to strengthen the supply base.
  • Database maintenance : Keep an updated record of vendors for administrative and operational needs.
  • Cost-effective procurement : Negotiate contracts to ensure alignment with company policies and budget efficiency.
  • Performance tracking : Monitor vendor performance and resolve issues within agreed timelines.
  • Payment compliance : Ensure timely payments and adherence to contractual obligations.
  • Quarterly reviews : Conduct vendor evaluations every quarter to assess service quality and reliability.

4. Administration & Facilities Management

  • Facilities upkeep : Ensure office premises, utilities, and equipment are maintained in optimal condition.
  • Office upkeep : Oversee housekeeping, repairs, and maintenance activities to maintain a professional work environment.
  • Inventory management : Track office supplies and consumables; ensure timely replenishment with zero stockouts.
  • Cost control : Monitor administrative expenses and implement measures to reduce costs without compromising quality.
  • Compliance & safety : Ensure adherence to workplace safety standards and administrative policies.
