Executive Assistant to Director


We are seeking a proactive, highly organized, and detail-oriented Executive Assistant to support the Executive Director . This role will serve as a key coordination point across departments, ensuring seamless communication, timely execution of initiatives, and efficient day-to-day management of administrative, scheduling, and follow-up activities.


Key Responsibilities


1. Coordination & Follow-Up

  • Act as the primary point of contact between the Executive Director and internal stakeholders.
  • Track, monitor, and follow up on tasks and projects assigned across departments to ensure timely completion.
  • Maintain and regularly update project trackers, including timelines, dependencies, and progress status.

2. Scheduling & Meetings

  • Manage the Executive Directors calendar by scheduling, prioritizing, and coordinating meetings, appointments, and calls.
  • Prepare meeting agendas, record minutes, and ensure closure of action items.
  • Support planning and coordination of weekly, monthly, and periodic review meetings.

3. Travel & Logistics Management

  • Coordinate domestic and international travel, including itineraries, accommodations, and related logistics.

4. Communication & Documentation

  • Draft and review emails, presentations, reports, and other communication on behalf of the Executive Director.
  • Handle sensitive information with the highest level of confidentiality and discretion.


Qualifications & Skills


  • 810 years of experience as an Executive Assistant, preferably within a manufacturing environment .
  • Strong organizational, multitasking, and prioritization abilities.
  • Excellent written and verbal communication skills.
  • High proficiency in MS Office (Excel, PowerPoint, Word) and scheduling tools (Google Calendar, Outlook, etc.).
  • Professional demeanor with strong ownership, accountability, and follow-through.
  • Ability to work under pressure while maintaining confidentiality.
