Job Overview:
The individual will provide comprehensive organizational, administrative, and program support to the CXOs office, acting as the primary liaison between the reporting manager and internal & external stakeholders. The role requires prioritizing and managing information flow into and out of the office, ensuring robust data governance, and driving key events and initiatives for the CXOs office.
Location: Kurla, Mumbai
Key Stakeholders:
- External : Consultants
- Internal : Business & Functional Heads, Other CXOs
Essential Qualifications:
Graduation Mandatory; Post Graduation/Diploma in EA will be preferred.
Essential Skills & Experience:
- 8 to 12 years of experience as an executive assistant / executive secretary for a senior level individual, in a large and reputed organization
- Experience of handling multiple stakeholders
- Ability to work in a high-stakes & high-pressure environment
- Ability to prioritize assignments with impeccable accuracy and results.
- Experience in handling large volume of correspondence, coordinate and organize meetings, take efficient minutes and coordinate follow-ups, make travel arrangements, manage diaries, update personal expense sheets.
- Strong MS Excel skills.
- Proven experience in driving event management.
Key Responsibilities:
- Provide comprehensive administrative support to the manager, ensuring smooth day-to-day operations.
- Manage and screen all incoming and outgoing communication with professionalism and accuracy.
- Schedule appointments, coordinate meetings, and prepare agendas and related documentation.
- Liaise with the travel desk to arrange travel, accommodation, and other logistical requirements as needed.
- Support the manager in achieving daily objectives by managing calendars, coordinating meetings, planning events, and handling general administrative tasks.
- Prepare and maintain correspondence, reports, and other materials with a high degree of accuracy and timeliness.
- Manage team-related data sets, maintain Excel trackers, generate reports, and assist with expense management and reconciliation.
- Handle any additional tasks or assignments arising during daily operations while ensuring strict confidentiality of information at all times.
