We are seeking a highly skilled and proactive Executive Assistant to provide comprehensive administrative support to senior leadership. The ideal candidate will be a strategic partner who anticipates needs, manages complex travel arrangements, and facilitates seamless communication across all levels of the organization.
Key Responsibilities
Travel Management & Coordination
- Plan and coordinate complex domestic and international travel itineraries
- Book flights, hotels, ground transportation, and manage visa/passport requirements
- Optimize travel schedules for cost-effectiveness and executive productivity
- Handle last-minute changes and emergency travel arrangements
- Maintain detailed travel profiles and preferences for executives
Communication & Correspondence
- Draft, review, and edit professional correspondence, emails, and presentations
- Manage executive communications with internal teams, clients, and external stakeholders
- Screen and prioritize incoming calls, emails, and meeting requests
- Prepare briefing materials and talking points for meetings and events
Administrative Excellence
- Manage complex calendar scheduling across multiple time zones
- Coordinate board meetings, client presentations, and corporate events
- Prepare expense reports and process invoices
- Maintain confidential files and executive documentation
- Handle special projects and research assignments
Proactive Support
- Anticipate executive needs and prepare materials in advance
- Monitor industry trends and brief executives on relevant developments
- Coordinate with cross-functional teams to ensure seamless operations
- Serve as liaison between executives and internal/external contacts
Required Qualifications
Experience & Education
- Bachelor's degree preferred or equivalent professional experience
- 2 to 4 years of executive assistant experience supporting C-level executives
- Experience in corporate or professional services environment preferred
Technical Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience with travel booking platforms and expense management systems
- Strong typing skills (minimum 70 WPM) with exceptional attention to detail
- Familiarity with video conferencing platforms and virtual meeting coordination
