Job Description

Core Responsibilities

  • Executive Support: Manage complex calendars, prioritize meeting requests, and coordinate domestic/international travel logistics for HR leadership.
  • Communication Management: Act as the primary gatekeeper and liaison between HR executives and internal/external stakeholders. Draft, proofread, and edit sensitive correspondence, announcements, and reports.
  • Meeting & Event Coordination: Organize department-wide meetings, leadership retreats, and employee engagement events. Prepare agendas, briefing materials, and track action items for follow-up.
  • Project Management: Assist in the rollout of HR initiatives, such as performance review cycles, open enrollment, or culture surveys.
  • Confidential Data Handling: Maintain highly sensitive employee records, executive files, and organizational charts with total discretion.
  • Expense & Budget Support: Process executive expenses and assist in tracking the departments annual budget and vendor invoices.

Requirement

Education

Bachelors degree in Human Resources, Business Administration, or a related field.

Experience

3+ years of administrative experience, preferably supporting C-suite or HR leadership.

Technical Skills

Advanced proficiency in Microsoft Office (Excel, PowerPoint) and HRIS platforms (e.g., Workday, SAP, or BambooHR).

Discretion

Proven ability to handle confidential information and sensitive personnel matters.

Organization

Exceptional time-management skills and the ability to juggle multiple high-priority projects.
