Role Description
This is a full-time on-site role for an Executive Assistant in the Founders Office, located in Gurgaon. The Executive Assistant will be responsible for providing comprehensive executive support, handling administrative tasks, managing expense reports, and delivering executive and administrative assistance as required. Ensuring effective communication and seamless coordination will be a critical aspect of this role.
Key Responsibilities
Founder & Leadership Support
- Manage the Founders meetings and daily schedules
- Act as a point of contact between the Founder and internal/external stakeholders
- Prepare agendas, presentations, reports, and MOMs for meetings
- Track action items and follow up with teams to ensure timely execution
Business & Operations Coordination
- Coordinate with department heads (Operations, Sales, Finance, Insurance, Franchise teams)
- Support strategic projects, business reviews, and performance tracking
- Assist in planning and execution of company initiatives and leadership decisions
- Monitor key business metrics and prepare summary reports
Communication & Documentation
- Draft professional emails, internal communications, and official documents
- Maintain records, confidential files, and important business data
- Ensure smooth flow of communication across teams
Administrative & Compliance Support
- Handle documentation related to vendors, partners, franchises, and key clients
- Support basic compliance, approvals, and coordination with legal/accounts teams
- Maintain discipline, timelines, and process adherence across assigned tasks
Required Skills & Qualifications
- Graduate/Postgraduate in Business Administration, Management, or related field
- 23 years of experience as an Executive Assistant, Founders Office, or similar role
- Excellent verbal and written communication skills
- Strong organizational and multitasking abilities
- High level of integrity, confidentiality, and professionalism
- Proficiency in MS Excel, PowerPoint, Word, and Google Workspace
- Ability to work under pressure and meet tight deadlines
Preferred Skills
- Experience working in startups, automotive, or service-based companies
- Exposure to business analytics, MIS reporting, or project coordination
- Problem-solving mindset with proactive execution
