Job Description

The Executive Assistant to the Vice Chancellor will provide high-level, strategic, and confidential administrative support to the Vice Chancellor. The role requires exceptional organizational skills, discretion, professionalism, and the ability to manage multiple priorities in a dynamic academic environment.

The EA will act as a key liaison between the VCs Office, Faculty/Staff and outside stakeholders, ensuring seamless coordination and execution of executive responsibilities.


Key Responsibilities

Executive Support

  • Manage the Presidents calendar, appointments, meetings, and travel schedules.
  • Coordinate high-level meetings, Board meetings, and strategic discussions.
  • Prepare agendas, briefing notes, presentations, reports, and official correspondence.
  • Track key deliverables and follow-ups on behalf of the President.

Communication & Coordination

  • Serve as the primary point of contact between the President and Deans, Directors, faculty, government bodies, and external stakeholders.
  • Draft official letters, emails, circulars, and confidential communications.
  • Handle sensitive information with utmost discretion and professionalism.

Administrative & Strategic Assistance

  • Assist in policy documentation, institutional planning, and accreditation-related tasks.
  • Monitor important institutional deadlines and ensure timely execution.
  • Support event planning for high-profile university functions and VIP visits.
  • Maintain organized records, files, and documentation for the Presidents Office.

Confidentiality & Governance

  • Ensure strict confidentiality of executive decisions and strategic matters.
  • Facilitate smooth communication between leadership and governance bodies.
  • Represent the Presidents Office in meetings when required.


Eligibility Criteria

  • Masters degree from a recognized university (MBA preferred).
  • Minimum 58 years of experience as an Executive Assistant to CXO/Director/President level, preferably in the education sector.
  • Excellent written and verbal communication skills.
  • Strong proficiency in MS Office Suite (Word, Excel, PowerPoint) and digital collaboration tools.
  • Exceptional organizational, multitasking, and time-management skills.
  • High level of integrity, professionalism, and discretion.
