Job Description

Position Summary


The Executive Assistant (EA) to the Chairman will provide high-level, confidential, and strategic administrative support to the Chairman of a leading hospital. The role requires exceptional organizational skills, discretion, and the ability to manage complex schedules and international travel across multiple time zones. The ideal candidate will act as a trusted gatekeeper and liaison, ensuring seamless day-to-day operations and enabling the Chairman to focus on strategic, clinical, and institutional priorities.

Responsibilities:


Looking for a High-Energy, Go-getter, definitely tech-savy, with knowledge of AI in Business, willing to Learn seasoned Executive Assistant for the Chairman's office who manages a group of Institutions



  • Manage the Chairman's calendar, appointments, and meetings across global time zones
  • Serve as the primary point of contact between the Chairman and internal/external stakeholders
  • Prepare briefing notes, presentations, reports, and correspondence
  • Screen calls, emails, and requests; prioritize and respond appropriately
  • Handle highly confidential information with absolute discretion


  • Plan and manage end-to-end domestic and international travel, including flights, visas, accommodation, ground transport, and itineraries
  • Coordinate travel aligned with clinical, academic, board-level, and governmental engagements


  • liaise with board members, senior clinicians, government officials, international partners, and dignitaries
  • Coordinate meetings with global healthcare institutions, conferences, and medical forums


  • Organize board meetings, executive reviews, and international engagements
  • Prepare agendas, minutes, and post-meeting action trackers

  • Advanced proficiency in MS Office / Google Workspace

Requirements:


  • Minimum 3 years proven experience as an executive assistant or in a similar role.
  • Excellent organizational, High Level Business communication, presentation, and multitasking skills.
  • Proficiency in MS Office and office management software.
  • Discretion and professionalism in handling sensitive information.
  • Basic project management skills and ability to coordinate tasks effectively.
