Job Summary
Bonanza Group is seeking a proactive, highly organized, and detail-oriented Executive Assistant (EA) . The primary focus of this role is to provide comprehensive administrative support, manage the Directors professional schedule, and ensure the smooth day-to-day operations of the executive office. The ideal candidate will be a master of multitasking, a clear communicator, and a reliable gatekeeper who ensures the Directors time is optimized.
Key Responsibilities:
Calendar & Schedule Management
- Manage and maintain the Directors complex calendar, including scheduling internal and external meetings, appointments, and travel.
- Prioritize meeting requests and handle last-minute scheduling changes efficiently.
- Ensure the Director is well-prepared for all engagements by providing necessary documents and agendas in advance.
Communication & Correspondence
- Act as the primary point of contact between the Director and internal/external stakeholders.
- Draft, edit, and proofread professional emails, letters, and internal memos.
- Handle incoming calls and inquiries, directing them to the appropriate departments when necessary.
Meeting Coordination & Documentation
- Organize board meetings, department reviews, and client visits.
- Attend meetings to record accurate minutes and distribute summary notes to relevant participants.
- Follow up on action items from meetings to ensure tasks are completed by the respective teams.
Operational & Travel Support
- Coordinate comprehensive domestic and international travel arrangements, including flights, visas, accommodation, and local transport.
- Handle expense reporting, invoice processing, and personal administrative tasks as required.
- Maintain an organized digital and physical filing system for contracts, reports, and confidential documents.
Office Management
- Screen visitors and manage the hospitality for the Directors guests.
- Collaborate with other administrative staff to ensure office protocols are followed.
- Maintain a high level of confidentiality and discretion regarding all sensitive business information.
Qualifications & Skills
- Education: Bachelors degree in Business, Communications, or a related field.
- Experience: 3+ years of experience as an Executive Assistant or in a similar administrative role supporting senior leadership.
- Communication: Exceptional verbal and written English communication skills.
- Tech-Savvy: High proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and digital calendar tools.
- Organization: Superior time-management skills and the ability to juggle multiple priorities under pressure.
- Soft Skills: High level of professionalism, discretion, and a "can-do" attitude.
