Role: Executive Assistant

Location: IBC Knowledge Park, Bengaluru

Reporting to: Senior Executive Assistant

About the Team and the Role

The Founder’s office team at Ather is responsible for providing high-level administrative support, managing critical schedules, and coordinating cross-functional projects to ensure smooth organizational operations.

This role is for an Executive Assistant who will support the CEO and CXOs by prioritizing inquiries, managing complex travel and expenses, and driving both large and small projects to closure.

Responsibilities

  • Manage and prioritize complex calendars for the CEO and CXOs, troubleshooting conflicts and recommending engagement strategies.

  • Attend meetings to take detailed notes and diligently follow up on action items from Management Review meetings.

  • Coordinate domestic and international travel logistics, including tickets, accommodation, transport, Visas, and e-passes.

  • Oversee expense management and reimbursements for travel, external events, board meetings, and tax-related submissions.

  • Drive and support program management for large and small organizational projects by coordinating between various teams.

  • Facilitate administrative and financial setups for large-scale events, investor meetings, and PR conferences.

  • Act as a liaison for the CEO to ensure they are well-informed of upcoming commitments and responsibilities.

  • Coordinate and manage the schedule for official signatures with the CEO and CXO team.

Experience and Qualifications

  • No specific educational background is mandatory for this position.

  • At least 5+ years of relevant professional experience.

  • Previous experience working directly with CXOs is required.

Must Have Competencies

  • Advanced expertise in calendar management and prioritization of inquiries for senior leadership.

  • High proficiency in travel management, including domestic and international logistics and Visa processing.

  • Expertise in end-to-end expense management, including tax invoice collection and vendor meeting reimbursements.

  • Professional capability in email management and administrative coordination across various organizational departments.

Good to have Competencies

  • Proficiency in using MS Office tools for documentation and reporting.

  • Functional ability to facilitate large-scale meeting schedules, such as All Hands or PR events.

  • Capability to manage program-related tasks and drive specific project milestones to closure.

  • Competency in managing documentation for e-passes and passport renewals.
