Role Overview

We are seeking a proactive and highly organized Executive Assistant to provide comprehensive administrative and coordination support to senior leadership. The ideal candidate will play a crucial role in ensuring smooth day-to-day operational efficiency by managing schedules, handling communication, maintaining documentation, and assisting in strategic follow-ups.


This role requires strong professionalism, confidentiality, time management, and the ability to handle multiple responsibilities with attention to detail.


Key Responsibilities

1. Leadership & Calendar Management


  • Manage and maintain leadership calendars, appointments, meetings, and travel schedules.
  • Coordinate internal and external meetings, including agenda preparation and meeting documentation.
  • Ensure timely follow-ups on action items, commitments, and pending tasks.


2. Documentation & Reporting


  • Prepare business reports, presentations, summaries, and internal documentation.
  • Maintain proper records of important communications, project updates, and operational reports.
  • Assist in drafting emails, business communication, and official correspondence on behalf of leadership.


3. Coordination & Communication


  • Act as a coordination bridge between leadership, internal teams, and external stakeholders.
  • Facilitate communication flow across departments to ensure alignment and timely execution of tasks.
  • Assist in organizing meetings, events, and business discussions when required.


4. Task & Priority Management


  • Track daily operational tasks, deadlines, and deliverables assigned by leadership.
  • Monitor progress of ongoing projects and ensure timely completion.
  • Support leadership in decision-making by organizing relevant data and information.


Required Skills & Qualifications


  • Minimum 1 year of experience as an Executive Assistant, Administrative Coordinator, or similar role.
  • Strong verbal and written communication skills.
  • Proficiency in MS Excel, MS PowerPoint, and MS Word.
  • Excellent organizational, multitasking, and time management abilities.
  • High level of discretion, confidentiality, and professionalism.
  • Ability to work in a fast-paced and deadline-driven environment.
