Job Description

POSITION DESCRIPTION

The Database Management Manager is responsible for maintaining the accuracy, structure, and integrity of the companys member database. This role ensures that member information, membership tiers, and contact records are correctly maintained so that communications, services and reporting are reliable. The role focuses on data management, segmentation, and system accuracy, not marketing campaigns.


RESPONSIBILITIES

Database Management

  • Maintain and manage the central member database within the CRM system (ViewPoint or similar).
  • Ensure member records are accurate, complete, and up-to-date.
  • Monitor data imports, exports, and integrations with other systems.

Membership Tier Accuracy

  • Ensure members are correctly classified by membership type (Owners, Fractional, Karma Club, Karma Club Discovery, Karma Club Experience, etc.).
  • Maintain clear rules for how members move between tiers.
  • Prevent errors that could result in incorrect member communication or benefits.

Data Segmentation

  • Create and maintain member lists based on criteria such as membership level, geography, usage patterns, and demographics.
  • Support the marketing team by providing accurate lists for digital campaigns. Data Hygiene
  • Regularly clean the database by removing duplicates, correcting errors, and updating incomplete records.
  • Monitor unsubscribe lists, bounced emails, and invalid contacts.

System Coordination

  • Work with IT to ensure data flows correctly between the CRM and other systems such as the Email Service Provider (ESP).
  • Identify and resolve data discrepancies.

Reporting

  • Provide regular reports on database size, segmentation, and data quality.
  • Track growth in member records and ensure data accuracy standards are maintained.


REQUIREMENTS

  • 3 to 5 years of experience managing CRM databases or customer data systems.
  • Strong experience with CRM platforms (ViewPoint or similar systems).
  • Proficiency in SQL, database queries, or advanced Excel.
  • Strong attention to detail and ability to manage large datasets.
  • Ability to work closely with both IT and marketing teams.
  • Understanding of data privacy and compliance requirements (DPDP Indian Data Protection Act, GDPR).
  • Proficiency in AI agentic systems that can autonomously optimize, monitor, and repair data structures.

  • Member database accuracy maintained at a consistently high standard.
  • No errors in member classification or membership tier allocation.
  • Clean, usable segmentation lists provided to the marketing team when required.
  • Duplicate records and incomplete data regularly identified and corrected.
  • Reliable data integration between CRM and communication platforms.
