Job Title: Corporate Gifting Operations Manager

CTC: Rs. 40,000 - 45,000 PM

Work Mode: Onsite , Full-Time

Working Hours: Monday to Saturday, 10:00 AM to 7:00 PM

Role Overview

We are seeking a highly experienced and detail-oriented Corporate Gifting Operations Manager to handle the end-to-end corporate gifting function for the organisation. This role involves strategic planning, vendor management, procurement, budgeting, invoicing, logistics, and execution of gifting initiatives for clients, employees, events, festivals, and promotional campaigns.

The ideal candidate should have strong vendor coordination skills, creative gifting sense, and the ability to manage multiple gifting projects simultaneously while ensuring premium quality and timely delivery.

Key Responsibilities

1. End-to-End Corporate Gifting Management

  • Manage the complete lifecycle of corporate gifting from requirement to final delivery
  • Understand gifting needs based on occasion, client profile, event, campaign theme, and budget
  • Plan and execute gifting for festivals, client engagement, employee rewards, and corporate events
  • Handle bulk gifting orders and customized gift requirements


2. Gift Selection & Curation

  • Research and propose creative, premium, and customized gifting ideas
  • Select gifts aligned with brand image, client expectations, and occasion
  • Ensure quality, presentation, and branding accuracy of all gifts


3. Vendor Management & Procurement

  • Identify, evaluate, and onboard new gifting vendors and suppliers
  • Maintain strong vendor relationships for long-term collaboration
  • Negotiate pricing, timelines, and service agreements
  • Coordinate product sourcing, sampling, and approvals
  • Raise purchase orders (POs) as per approved gifting requirements


4. Budgeting & Cost Control

  • Plan and execute gifting campaigns within approved budgets
  • Compare vendor quotations and finalize cost-effective solutions
  • Maintain detailed cost sheets, expense trackers, and budget reports


5. Invoicing & Billing Coordination

  • Verify vendor invoices against POs and delivery confirmations
  • Maintain proper documentation for billing, invoices, and approvals
  • Coordinate with the accounts team for vendor payments and processing
  • Track outstanding payments and ensure timely closure


6. Logistics, Packaging & Dispatch Management

  • Oversee packaging, branding, labeling, and presentation of gifts
  • Coordinate dispatch, courier partners, and shipment tracking
  • Ensure timely and safe delivery across locations
  • Handle reverse logistics, replacements, and damaged shipments


7. Documentation & Reporting

  • Maintain records of vendor quotations, invoices, approvals, and dispatch details
  • Prepare periodic reports on gifting expenses, inventory, and vendor performance
  • Maintain gifting database and inventory records (if applicable)


8. Internal & Cross-Functional Coordination

  • Work closely with HR, Marketing, Sales, Admin, and Management teams
  • Manage gifting requests for clients, employees, and corporate events
  • Provide regular updates on order status, timelines, and deliveries


9. Quality Control & Issue Resolution

  • Ensure product quality, customization accuracy, and premium presentation
  • Resolve vendor delays, quality issues, and operational challenges
  • Arrange replacements, refunds, or corrections when required


Required Skills & Competencies


  • Strong experience in Corporate Gifting / Procurement / Vendor Operations
  • Excellent vendor negotiation and relationship management skills
  • Knowledge of invoicing, billing, and purchase order systems
  • Budget planning and cost control expertise
  • Strong coordination and communication skills
  • High attention to detail and follow-up ability
  • Problem-solving and deadline management skills
  • Ability to handle bulk and high-value gifting projects


Technical Skills

  • MS Excel / Google Sheets (Budget tracking & reporting)
  • ERP / Accounting Software (Tally, Zoho, SAP, or similar preferred)
  • Email communication and documentation tools


Eligibility Criteria

  • Minimum 5+ years of experience in Corporate Gifting, Procurement, or Vendor Operations
  • Proven experience in handling end-to-end corporate gifting projects
  • Experience managing multiple vendors and bulk gifting orders
  • Bachelors degree in Commerce, Business Administration, Operations, or related field preferred
