Job Description
1. Quotation & Email Management
- Check sales mails daily and ensure all quotations are prepared and sent on the same day.
- Call customers to understand their requirements and coordinate quotation preparation.
- Update all quotation details and soft copies in Zoho and relevant folders.
2. Customer Interaction & Follow-up
- Connect with existing customers to explain product range and collect performance certificates.
- Record issues raised by customers, coordinate with concerned departments, and share clarifications with customers.
- Review past correspondence in Zoho before sending revised quotes.
3. Purchase Order (PO) Processing
- Verify PO received from customers against last quoted price and record discrepancies.
- Get approval from Commercial Desk Manager/VP/Management and file the approved PO.
- Send PO confirmation to customers and collect required details (e.g., OT dimensions for lights).
4. CRM & Data Management
- Ensure customer lists, installation lists, and product-wise details are updated regularly.
- Maintain soft copies of quotations, tender documents, catalogues, and commercial templates.
- Take timely backups in designated hard disks and clean folders weekly.
5. Tender, Catalogue & Template Support
- Prepare tender documents and maintain them in correct folders.
- Coordinate catalogue modifications with the design/social media team.
- Update email IDs and send weekly mass mailers as required.
6. Exhibition & Event Support
- Send invitations 15 days before exhibitions and coordinate with admin, service, and sales teams.
- Upload product categories, profiles, documents for international events before deadlines.
- Ensure all event-related documents and correspondence are saved properly.
7. System & Internal Coordination
- Record system-related issues, coordinate with AMC personnel for resolution, and maintain the logbook.
- Support staff with system/process queries.
- Issue training kit to new TSIs and ensure they complete product training videos.
8. MIS & Daily Reporting
- Update monthly MIS: Prospect List, Hot Prospects, Orders Received/Lost.
- Share daily work plan and end-of-day report on WhatsApp; ensure the team follows the same.
