What would you do? We are currently seeking a meticulous and organized individual to join our Document and Information Management Domain as a Document Control Coordinator. In this role, you will report to the Document Control Domain Lead and be responsible for managing the documentation control process for our Clients Oil & Gas EPC (Engineering, Procurement, and Construction) projects. You will ensure the accurate and efficient control, distribution, and archiving of project-related documents. Investment project management and control capabilities related to grid assets to enable the energy transition (e.g. transmission interconnections).
What are we looking for? Any bachelor s degree preferable in Engineering, Project Management, or a related field. Experience (6+ years) in document control, information management, or a similar role, preferably within the Oil & Gas industry or EPC contractors. Knowledge of document control principles and best practices, including document numbering, version control, and distribution procedures. Familiarity with document management systems (DMS) and electronic document control tools. Proficiency in using MS Office Suite (Word, Excel, PowerPoint) and other relevant software or tools for document control. Strong attention to detail and organizational skills to manage a large volume of project documents. Excellent analytical and problem-solving abilities to identify and address document control issues or discrepancies. Strong communication and interpersonal skills to collaborate effectively with project teams, subcontractors, and stakeholders. Knowledge of industry-standard document templates, formatting, and branding guidelines. Ability to work independently and under pressure to meet project deadlines and ensure timely document control. Familiarity with relevant regulations and compliance requirements related to document control in the Oil & Gas sector. Willingness to learn and adapt to new document control systems, technologies, and industry-specific software. Strong sense of confidentiality and ability to handle sensitive and confidential information appropriately. Ability to work effectively in a team environment, supporting the overall objectives of the Project Information Management Department. Proficiency in written and spoken English. Knowledge of analytics and reporting tools (PowerBI, Qlik, ...) Knowledge of workflow and orchestration tools (PowerFlow, ServiceNow, ...) As a Document Control Coordinator within our Project Information Management Domain, you will play a pivotal role in ensuring the accurate and efficient control of project documents for our Clients Oil & Gas EPC projects. Your attention to detail, organizational skills, and adherence to document control procedures will contribute to the successful execution of our projects.
Roles and Responsibilities: Collaborate with the Document Control Domain Lead to understand Clients project requirements, document control procedures, & standards for document management within the Oil & Gas industry. Establish & maintain an effective document control system, including document numbering, version control, filing structure, & access permissions.Coordinate the onshore & offshore Project Control Team Oversee the correct receiving, reviewing, & registration of incoming project documents, ensuring completeness, accuracy, & compliance with established Clients document control procedures.Supervise the assignment of document numbers, codes, & metadata to incoming documents, facilitating easy retrieval & tracking throughout the project lifecycle.Organize & maintain physical & electronic document repositories, ensuring proper filing, categorization, & storage of project documents.Monitor document distribution & control access permissions based on project requirements & stakeholder roles.Coordinate with Clients project teams, subcontractors, & stakeholders to collect & compile project-related documents, ensuring timely submission & accuracy.Review outgoing documents for compliance with document control procedures, including proper formatting, numbering, & alignment with project templates.Ensure proper document formatting, consistency, & adherence to company branding guidelines.Facilitate document approval processes, tracking & monitoring document review cycles & ensuring timely completion.Generate & distribute document transmittals & correspondence, maintaining accurate records of document movements & distribution.Collaborate with the Project Information Management Director (internal / client side) to prepare regular status reports on document control activities, including document registers, overdue documents, & outst&ing actions.Assist project teams in retrieving & locating documents, providing support for document-related inquiries & requests.Ensure compliance with document retention policies & procedures, facilitating document archiving & disposal in accordance with project & regulatory requirements.Stay updated on industry best practices, emerging technologies, & advancements in document control & information management within the Oil & Gas sector.Participate in continuous improvement initiatives within the Project Information Management Department, suggesting enhancements to document control processes & tools.Design & oversee implementation of automation tools to support daily operation.
