What would you do? The Procurement Operation Analyst specializing in Order and Document Management is responsible for managing and optimizing the procurement order processes and procurement documentation. This role ensures the accurate and timely processing of purchase orders, maintaining comprehensive records, and supporting procurement operations to meet capital project timeline.
What are we looking for? Bachelors degree in Supply Chain Management, Business Administration, Engineering, or a related field is a plus, or High School Diploma in Technical and Scientific Disciplines as minimum requirement. Preferred experience in procurement operations, with a focus on order management. Preferred experience on SAP Material Management module processes Excellent organizational and document management skills. Strong attention to detail and accuracy. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Effective communication and interpersonal skills. Ability to analyze data and generate actionable insights. Strong problem-solving and process improvement abilities. Knowledge of compliance and regulatory requirements related to procurement
Roles and Responsibilities: Process and manage purchase orders (POs) from creation to completion Ensure all POs are accurate, complete, and aligned with client procurement procedures and policies Manage work item related to invoice exception managing discrepancy collaborating with supplier and internal stakeholders Track order status and interact with expediting team to update Order status to meet project schedules Resolve any issues related to order discrepancies, or changes Maintain accurate and organized procurement documentation, including Pos Implement and manage a document control system to ensure easy access and retrieval of documents Ensure all documentation complies with company policies and regulatory requirements Provide timely updates to vendors on order status and requirements Address and resolve any vendor inquiries related to orders and documentation Analyze procurement data to track performance metrics and identify areas for improvement Generate regular reports on order status, delivery performance, and document compliance Provide insights and recommendations to improve procurement processes and efficiency Support internal and external audits by providing required documentation and information. Address any audit findings and implement corrective actions as necessary Prepare and present reports to senior management and project team
