What would you do? We are currently seeking a meticulous and organized individual to join our Document and Information Management Domain as a Junior Document Controller. In this role, you will report to the Document Control Coordinator and be responsible for managing the documentation control process for our Clients Oil & Gas EPC (Engineering, Procurement, and Construction) projects. You will ensure the accurate and efficient control, distribution, and archiving of project-related documents.
What are we looking for? Any bachelor s degree in Engineering, Project Management, or a related field. Familiarity with document management systems (DMS) and electronic document control tools. Proficiency in using MS Office Suite (Word, Excel, PowerPoint). Strong attention to detail and organizational skills to manage a large volume of project documents. Excellent analytical and problem-solving abilities. Strong communication and interpersonal skills to collaborate effectively. Ability to work independently and under pressure to meet project deadlines. Attitude in learning new skills and adapting to a fast-pacing environment. Strong sense of confidentiality and ability to handle sensitive and confidential information appropriately. Ability to work effectively in a team environment, supporting the overall objectives. Proficiency in written and spoken English. As a Junior Document Controller within our Document and Information Management Domain, you will play a pivotal role in ensuring the accurate and efficient control of project documents for our Clients Oil & Gas EPC projects. Your attention to detail, organizational skills, and adherence to document control procedures will contribute to the successful execution of our projects.
Roles and Responsibilities: Establish and maintain an effective document control system, including document numbering, version control, filing structure, and access permissions. Collaborate with onshore and offshore Project Control Team Perform correct receiving, reviewing, and registration of incoming project documents, ensuring completeness, accuracy, and compliance with established Clients document control procedures. Organize and maintain physical and electronic document repositories, ensuring proper filing, categorization, and storage of project documents. Monitor document distribution and control access permissions based on project requirements and stakeholder roles. Support Document Control Coordinator, Clients project teams, subcontractors, and stakeholders to collect and compile project-related documents, ensuring timely submission and accuracy. Review outgoing documents for compliance with document control procedures, including proper formatting, numbering, and alignment with project templates. Ensure proper document formatting, consistency, and adherence to company branding guidelines. Facilitate document approval processes, tracking and monitoring document review cycles and ensuring timely completion. Generate and distribute document transmittals and correspondence, maintaining accurate records of document movements and distribution. Support the Document Control team to prepare regular status reports on document control activities, including document registers, overdue documents, and outstanding actions. Assist project teams in retrieving and locating documents, providing support for document-related inquiries and requests. Act in compliance with document retention policies and procedures, facilitating document archiving and disposal in accordance with project and regulatory requirements. Support document control team within internal project development activities Maintain a customer service-oriented approach, ensuring timely and accurate responses to internal and external inquiries related to document control. Adhere to confidentiality requirements and safeguard sensitive project information throughout the document control process.
