Role Overview
The Executive Manager- Chairmans Office will be responsible for end-to-end management of the Chairmans professional and personal office requirements . This role requires a highly discreet, detail-oriented, and service-driven professional with prior experience as a butler.
The incumbent will act as a trusted confidant and single point of coordination , ensuring seamless calendar management, travel planning, logistics, hospitality, and day-to-day requirements of the Chairmanoften in dynamic and time-sensitive environments.
Key Responsibilities
Chairmans Office & Calendar Management
- Manage and maintain the Chairmans daily calendar , prioritizing meetings, appointments, and engagements.
- Coordinate internal and external meetings, including CXOs, board members, investors, government officials, and external stakeholders .
- Ensure punctuality, preparedness, and smooth flow of the Chairmans schedule.
Travel & Logistics Management
- Plan and manage domestic and international travel , including:
- Flight bookings (commercial and chartered/private flights)
- Hotel and serviced apartment bookings
- Ground transportation and security coordination
- Handle visa documentation, travel itineraries, and last-minute changes with agility.
- Ensure all travel is executed with comfort, confidentiality, and efficiency .
Chartered Flights & Premium Travel
- Coordinate chartered/private jet arrangements , including flight scheduling, crew coordination, and special onboard requirements.
- Liaise with aviation service providers to ensure compliance, safety, and comfort standards.
Hospitality & Protocol
- Manage hospitality arrangements for the Chairman and guests, including:
- Office and residence readiness
- Guest reception and protocol
- Fine dining, preferences, and personal standards
- Maintain deep understanding of the Chairmans personal preferences, routines, and expectations .
Personal Assistance & Special Assignments
- Attend to any task or requirement assigned by the Chairman with absolute confidentiality and urgency .
- Handle sensitive information with discretion and professionalism.
- Act as the Chairmans eyes and ears to ensure standards are consistently upheld.
Coordination & Vendor Management
- Liaise with travel agencies, hotels, charter operators, security teams, and internal teams.
- Negotiate and manage service quality, timelines, and costs where required.
Desired Profile
Experience
- 815 years of experience as a Butler, Executive Assistant, Personal Aide, or Office Manager supporting:
- Chairman / Promoter
- UHNW individuals
- Royal households, luxury hotels, private estates, or corporate leadership offices
- Prior exposure to international travel, chartered flights, and luxury hospitality is strongly preferred.
