Overview

Position summary:

This role plays a critical function in supporting the smooth and efficient operation of the Packaging Consumables business within Visy Specialties. This role ensures the timely processing of invoices and maintains high standards of financial and administrative accuracy. As a key connection point between internal teams and external suppliers, the role contributes directly to operational continuity, cost effectiveness, and the overall financial health of the business.

Key responsibilities

Key Result Area - Major Activities:

• Processing
• Coding of financial invoices
• Downloading & submitting invoices from utility companies
• Creating and submit manual Recipient Created Tax Invoice (RCTI) documents
• Facilitating manual approval of freight invoices to multiple site destinations
• Freight allocation for planned freight purchases
• Checking outstanding invoice status and assist with processing
• Follow up on workflows to ensure invoices are approved to meet payment runs
• Liaising with vendors for missing invoices for open good receipts (GR)
• Direct delivery processing
• Downloading supplier invoices
• Processing goods receipt invoicing customers
• Escalation to site for oversupplies on cash with order customers
• Follow up with sites for un invoiced Sales Order Stock
• Raising & receipting of non-stock purchase orders
• Submitting prompt payment requests
• Reporting
• Tooling charges
• Cost price updates
• Escalating invoice processing issues and long outstanding Goods Receipt/Invoice Receipt imbalances
• Checking vehicle registrations, tolls & fuel cards for Packaging Consumables owned vehicles
• Collating environmental invoices Maintenance
• VIMs hierarchy
• Vendor set up & updates Ad-hoc
• Other tasks as requested from financial management team
• Key challenges
• Balancing quality, cost, and delivery time in procurement decisions.
• Managing diverse and high-volume administrative tasks efficiently.

Key requirements:

• Experience and qualifications
• Mandatory (critical for the role)
• Minimum of 3 years of experience in purchasing, procurement or accounts payable roles.
• Proficiency in Microsoft Office Suite and familiarity with ERP systems especially SAP. Desirable (preferable for the role)
• Experience in the manufacturing, packaging, or recycling industries.
