About the Role
The Mortgage Closing Specialist owns the end‑to‑end closing lifecycle from pre‑closing review through closing, funding, and post‑closing handoff. This role partners with Processing, Underwriting, Title/Escrow, Brokers/LOs, Secondary/Funding, and Post‑Closing to deliver accurate, compliant, and on‑time closings across Conventional and Government loan products.
Key Responsibilities
1) Pre‑Closing & Readiness
- Validate final underwriting approval conditions; clear remaining prior‑to‑funding (PTF) items.
- Audit loan data integrity (names, vesting, fees, MI, LTV/CLTV, loan purpose, occupancy, rate/price locks).
- Ensure TRID timing/redisclosure compliance; confirm CD (Closing Disclosure) accuracy and borrower receipt timelines.
- Balance fees with Title/Escrow; reconcile lender credits, seller credits, and third‑party fees; cure tolerances as required.
- Confirm product eligibility and investor overlays (Fannie Mae, Freddie Mac, FHA, VA, USDA).
- Validate HOI, flood determination, property taxes, escrow/impound setup, and payoff statements.
- Prepare/waterfall closing conditions checklist; set target closing date and calendar with all parties.
2) Document Preparation & Closing Coordination
- Generate, QC, and release closing package (note, deed of trust/mortgage, riders, affidavits, state‑specific forms).
- Coordinate Remote Online Notarization (RON)/eClose/hybrid close (as applicable) or schedule in‑person signing.
- Verify signer(s), POA acceptability, vesting, trust or entity documentation; ensure notary instructions are correct.
- Provide settlement agent with wiring/funding instructions and approved fee sheet; confirm CPL/ALTA docs.
- Manage last‑minute changes (e.g., cash‑to‑close, rate lock extensions) and issue revised CD as needed.
3) Funding & Disbursement
- Perform final pre‑fund review: executed docs completeness, signature/initials, notary acknowledgments, legal descriptions.
- Clear closing/funding conditions; verify title commitment updates and compliance with lien position & endorsements.
- Authorize funding within authority limits; initiate wire or communicate with Funding/Secondary per policy.
- Coordinate disbursements with Title/Escrow; confirm rescission periods for owner‑occupied refi transactions.
- Document and resolve any funding exceptions same day.
4) Post‑Closing & Investor Delivery
- Ensure recording of security instruments, assignment (as applicable), and confirm tracking numbers.
- Ship complete post‑closing package to Investor/Servicer (stacking order, MERS registration/transfer if in scope).
- Cure trailing docs (final title policy, recorded docs, corrections) within SLA; prevent delivery suspense.
- Support collateral management (note custody/bailee letters) and resolve purchase conditions promptly.
5) Compliance, Risk & Quality
- Maintain full compliance with TILA‑RESPA (TRID), ECOA, HMDA, GLBA, SAFE Act, ATR/QM, state‑specific requirements, and investor guidelines.
- Follow internal SOPs, controls, and audit routines; document change logs and redisclosures.
- Partner with QC to analyze defects; implement corrective actions and process improvements.
6) Stakeholder Communication & Service
- Provide proactive, clear updates to borrowers, LOs, processors, underwriters, title/escrow, and realtors.
- Set accurate expectations on timelines; escalate blockers early (e.g., payoff shortfalls, vesting issues, complex POAs).
- Deliver a positive borrower closing experience; manage difficult conversations professionally.
7) Productivity & Continuous Improvement
- Meet or exceed SLAs for CD issuance, clear‑to‑close to fund TAT, funding turn‑time, and post‑closing cure timelines.
- Maintain high accuracy with low tolerance cures and low investor suspense rates.
- Contribute to SOP updates, playbooks, checklists, and training materials; support UAT for LOS changes or eClose rollouts.
Basic Qualifications (Must‑Have)
- 2–5 years hands‑on experience in US mortgage closing across Conventional (FNMA/FHLMC) and at least one Government program (FHA/VA/USDA) — or deep Conventional expertise with willingness to cross‑train.
- Solid working knowledge of TRID timing/redisclosure rules, CD balancing, escrow/impound setup, and fee tolerance management.
- Demonstrated skill preparing and auditing closing packages; familiarity with notary requirements, POA, trusts, and entity vesting.
- Proficiency with at least one enterprise LOS (e.g., Encompass) and a mainstream doc/disclosure system.
- Strong attention to detail; ability to manage high volume with tight SLAs in a regulated environment.
- Excellent written and verbal communication; stakeholder management across borrowers, LOs, title/escrow, and internal ops.
- Willingness to work US time zones and adjust during peak volumes or month‑end/quarter‑end.
