Role Overview


The Assistant Project Manager Projects supports the successful planning, coordination, and execution of workplace design and build projects. This role works closely with Project Managers, Site Teams, and cross-functional departments to ensure projects progress smoothly and are delivered on time, within budget, and to Zyetas quality standards.


This role requires a proactive professional who can coordinate multiple stakeholders, monitor project progress, and ensure operational discipline across project activities.

You are someone who is detail-oriented, execution-focused, and eager to take ownership while supporting project teams in delivering exceptional workplace environments.


Key Responsibilities


Project Coordination & Execution

Support Project Managers in the end-to-end execution of workplace design and build projects.

Assist in coordinating project activities across design, procurement, and site teams.

Track project progress against schedules and ensure timely completion of milestones.

Identify potential project risks or delays and escalate them proactively.

Ensure project documentation and updates are maintained regularly.


Planning & Scheduling Support

Assist in preparing project execution schedules and timelines.

Track dependencies and ensure project tasks are aligned with overall delivery schedules.

Support project progress monitoring through tools such as MS Project, Zoho Projects, or similar PM tools.

Maintain regular progress reports and dashboards for internal project reviews.


Site Coordination

Work closely with Site Engineers and contractors to monitor on-site progress.

Conduct regular site visits to track work progress, quality standards, and safety compliance.

Ensure site activities align with approved drawings, specifications, and schedules.

Support resolution of on-site coordination issues.


Vendor & Procurement Coordination

Coordinate with procurement teams for timely sourcing and delivery of materials.

Track vendor commitments and ensure materials are delivered according to project timelines.

Assist in vendor communication and coordination for project execution.


Client & Stakeholder Communication

Support Project Managers in coordinating with clients, consultants, and stakeholders.

Assist in preparing project updates, meeting notes, and progress reports.

Ensure clear communication between internal teams and external stakeholders.


Documentation & Change Management

Maintain structured documentation of project drawings, specifications, and reports.

Track design revisions and scope changes during project execution.

Ensure version control of project documents to prevent miscommunication or rework.

Qualifications & Experience

36 years of experience in project coordination or project management within interiors, construction, or real estate industries.

Experience supporting commercial interior or workplace design and build projects.

Strong understanding of project execution processes and site coordination.

Familiarity with project management tools such as MS Project, Zoho Projects, or equivalent.

Good communication, coordination, and stakeholder management skills.

Bachelors degree in Civil Engineering, Architecture, or Construction Management preferred.
