The Assistant Project Manager plays a key supporting role in planning, coordinating, and executing construction projects from inception to completion. What Success Looks Like in This Role (First 612 Months)
- Support the planning, coordination, and execution of construction projects from start to finish
- Maintain accurate project schedules, documentation, and reporting
- Assist in managing budgets, invoices, and cost tracking
- Coordinate resources, materials, and subcontractor work authorizations
- Communicate effectively with internal teams, subcontractors, and clients
- Identify project risks early and support mitigation efforts
- Demonstrate growth in project management, contract administration, and construction operations
Key Responsibilities
Project Planning and Scheduling
- Develop comprehensive project schedules and timelines
- Ensure all team members and stakeholders understand their roles and deadlines
- Adjust schedules as needed to meet evolving project goals and conditions
- Facilitate and/or file necessary project permits with support from the Project Manager
Budget Management
- Oversee and manage project budgets
- Track expenditures, approve invoices, and ensure costs remain within the allocated budget
- Address any financial discrepancies promptly to avoid delays
Resource Management
- Coordinate labor, equipment, and material allocation efficiently
- Collaborate with suppliers and subcontractors to manage resource availability
- Handle procurement and ordering duties, including distribution of subcontractor Work Authorizations (WAs) written by or with the Project Manager
Communication
- Maintain clear, consistent communication between contractors, engineers, architects, and clients
- Provide regular project updates and ensure alignment on goals and deliverables
- Address and resolve conflicts while keeping all stakeholders informed
Risk Management
- Identify potential risks throughout the project lifecycle
- Develop and implement mitigation strategies and contingency plans
- Continuously monitor progress and adjust plans to minimize risk impact
Documentation
- Maintain organized records of contracts, permits, drawings, and change orders
- Prepare and distribute project status reports
- Assist with drafting and executing project Change Orders (COs) for subcontractors and clients, with the support of the estimating team and Project Manager
Collaboration and Learning
- Work closely with senior project managers to plan, execute, and monitor construction projects
- Participate in site visits to verify progress and ensure quality standards are met
- Contribute project documentation, reporting, and risk assessments
- Develop skills in contract administration, procurement, and project management software
Your Must-Haves
- Bachelor's degree in Construction Management, Civil Engineering, Architecture, or related field (or equivalent experience)
- 35 years of experience in Construction or Project Coordination required
- Strong organizational, communication, and time-management skills
- Proficiency in Project Management Tools (e.g., Procore, MS Project, or similar)
- Ability to multitask and adapt in a fast-paced environment
- A proactive learner with a collaborative mindset and strong attention to detail
