Job Title: Assistant Facility Manager - Soft Services
Location: OMR, Chennai, India
Job Summary: We are seeking an experienced and dedicated Assistant Facility Manager to oversee soft services at our client's site in Chennai. The ideal candidate will ensure the delivery of high-quality facility management services, focusing on enhancing the workplace environment and supporting the client's operations.
Key Responsibilities:
Soft Services Management:
- Oversee and coordinate housekeeping, reception, mail room, and pantry services
- Ensure cleanliness and hygiene standards are maintained throughout the facility
- Manage front office operations, including visitor management and reception services
- Supervise mail and courier services
Vendor Management:
- Manage relationships with soft service vendors and contractors
- Monitor vendor performance and ensure compliance with service level agreements
- Conduct regular vendor reviews and address any service issues promptly
Health and Safety:
- Implement and maintain health and safety policies and procedures
- Conduct regular safety inspections and risk assessments
- Ensure compliance with local regulations and company policies
Client Relationship:
- Act as the primary point of contact for the client on soft services matters
- Attend client meetings and provide regular service updates
- Address client concerns and implement improvements as needed
Team Leadership:
- Supervise and motivate the soft services team
- Provide training and development opportunities for team members
- Ensure proper staffing levels and schedule management
Budget Management:
- Assist in preparing and managing the soft services budget
- Identify cost-saving opportunities without compromising service quality
Continuous Improvement:
- Implement best practices in soft services management
- Suggest and implement process improvements to enhance efficiency and service quality
Qualifications:
- Bachelor's degree in Facility Management, Hospitality Management, or related field
- 5+ years of experience in facility management, preferably in soft services
- Strong knowledge of soft services operations and best practices
- Excellent communication and interpersonal skills
- Proficiency in MS Office and facility management software
Skills and Attributes:
- Strong leadership and team management abilities
- Customer-focused mindset with excellent problem-solving skills
- Ability to multitask and prioritize in a fast-paced environment
- Detail-oriented with a focus on quality service delivery
