Job description Sr Manager Administration, Noida

1. Facility Management

  • Oversee day-to-day operations of office facilities including housekeeping, security, transport, parking, HVAC, electrical, plumbing, fire systems, and utilities.
  • Manage facility vendors, SLAs, KPIs, and service quality across locations.
  • Ensure preventive and breakdown maintenance of infrastructure and assets.
  • Coordinate with landlords, statutory authorities, and internal stakeholders.
  • Manage space planning, office moves, fit outs, and renovations.
  • Drive cost optimization, budgeting, and capex/opex control.


2. Soft Services Management

  • Manage housekeeping, pantry, pest control, security, fleet/cab operations, and other soft services.
  • Ensure service continuity, manpower deployment, rostering, and compliance with contractual terms.
  • Monitor vendor performance, invoice validation, and timely payments.
  • Implement process improvements and SOPs for service delivery.


3. Event Management

  • Plan and execute internal and external corporate events such as town halls, festivals, employee engagement activities, leadership meetings, and offsites.
  • Manage event vendors, budgets, logistics, permissions, and on-ground execution.
  • Ensure safety, compliance, and seamless coordination during events.
  • Post-event reporting, feedback, and cost reconciliation.


4. Employee Health & Safety (EHS)

  • Implement and monitor EHS policies in line with statutory requirements and company standards.
  • Ensure compliance with fire safety, electrical safety, emergency preparedness, and disaster management.
  • Conduct regular safety audits, risk assessments, mock drills, and inspections.
  • Coordinate with EHS consultants, fire department, and local authorities.
  • Manage incident reporting, corrective actions, and employee awareness programs.


5. Compliance & Governance

  • Ensure compliance with local laws, labour regulations, and statutory requirements related to facilities and EHS.
  • Maintain documentation, licenses, permits, and audit readiness.
  • Support internal and external audits and implement corrective actions.


6. Stakeholder & Team Management

  • Lead, mentor, and develop the administration team.
  • Act as a single point of contact for employees on administrative matters.
  • Collaborate with HR, Finance, IT, Legal, Procurement, and Business Teams.
  • Handle escalations, grievances related to facilities and services.


7. Budgeting & Reporting

  • Prepare annual budgets, forecasts, and MIS reports for administration and facilities.
  • Track expenses, identify savings opportunities, and ensure financial discipline.
  • Present regular updates to senior management.
