Job Title: Head of Facility and Administration

Job Summary:
We are seeking an experienced and dynamic Head of Facility / Admin Head to oversee and manage our facilities and administrative functions across India. The ideal candidate will have a proven track record of managing large-scale facilities and administrative operations, with a focus on efficiency, cost-effectiveness, and compliance with corporate policies and regulatory requirements. This role requires strong leadership, excellent communication skills, and the ability to manage multiple sites across the country.
Key Responsibilities:
- Facility Management:
- Oversee the maintenance, safety, and functionality of all company facilities across India.
- Ensure facilities are well-maintained and comply with health, safety, and environmental regulations.
- Coordinate with vendors and service providers for facility-related services, including maintenance, security, cleaning, and repairs.
- Manage space planning, including office layouts and the allocation of resources.
- Administrative Operations:
- Develop and implement administrative policies, procedures, and standards for all locations.
- Ensure smooth day-to-day administrative operations, including transportation, cafeteria services, and office supplies management.
- Oversee the management of company assets, ensuring accurate tracking and maintenance.
- Lead efforts to streamline administrative processes and improve operational efficiency.
- Vendor and Contract Management:
- Negotiate and manage contracts with external service providers, ensuring cost-effectiveness and quality of services.
- Monitor vendor performance and compliance with contract terms.
- Budgeting and Cost Control:
- Develop and manage the facilities and administrative budget, ensuring efficient use of resources.
- Implement cost-saving initiatives without compromising service quality.
- Stakeholder Management:
- Serve as the primary point of contact for all facility and administrative matters with internal stakeholders.
- Collaborate with other departments to support organizational goals and objectives.
- Leadership & Management:
- Lead and manage the administrative team to ensure efficient office operations.
- Set performance goals, monitor performance, and provide ongoing feedback for all Admin personnel across country.
- Develop and implement policies and procedures to improve administrative processes.
- Operational Efficiency:
- Oversee office operations including reception, clerical work, and internal communications.
- Please make sure to manage office supplies, equipment, and facilities.
- Coordinate with various departments to ensure administrative support for operational activities.
- Project Management:
- Lead and coordinate special projects aimed at improving administrative functions and operational efficiencies.
- Manage office relocation, renovations, or other significant organizational changes.
- Special situation handling if any
Qualifications:
- Bachelor's degree in Business Administration, Facilities Management, or a related field; MBA is a plus.
- Prior experience in armed forces would be preferred.
- Experience managing facilities and administrative operations across multiple locations, ideally on a pan-India basis.
- Strong knowledge of health, safety, and environmental regulations.
- Excellent negotiation, communication, and interpersonal skills.
- Proven ability to manage budgets and control costs.
- Strong leadership and team management skills.
- Ability to travel as required to manage operations across different locations.
- Strategic thinking and the ability to implement long-term solutions.
- Budget management and admin-financial oversight skills.
- Familiarity with IT systems, databases, and office management software.
- High level of integrity and confidentiality.
- Strong project management capabilities.
