Job Description

Job purpose:

Ensuring on time and accurate travel support including ticket booking, visa and insurance processing, hotel booking for Azilen employees and provide Administrative Support.


Who You Are:

  • 8-10 years of experience in corporate travel desk, visa processing, and office administration.
  • Strong understanding of international visa processes (USA, UK, Canada etc.).
  • Experience in coordinating with embassies, consulates, and travel agencies.
  • Excellent organizational and multitasking skills.
  • Strong negotiation and vendor management skills.
  • Proficiency in MS Office (Excel, Word, Outlook) and travel management tools.
  • Excellent communication skills and ability to handle high-pressure situations.


Key Responsibilities:


Travel Desk Management:

  • Handle end-to-end international and domestic travel arrangements, including flight bookings, hotel reservations, and local transport.
  • Manage visa processing, including documentation, embassy coordination, and tracking applications for different countries.
  • Ensure compliance with international travel regulations and company policies.
  • Coordinate with travel agencies and vendors to get the best deals.
  • Provide travel-related support, including itinerary planning and travel insurance.
  • Assist employees with forex, travel cards, and other necessary travel documentation.


Visa & Immigration Management:

  • Handle L1, H1, B1/B2, US, Schengen ,Canada, and other work/business visas.
  • Handle visa processing for various countries, ensuring timely submission of applications.
  • Stay updated on visa policies and procedures to provide accurate information.
  • Manage work permits, business visas, and other immigration-related formalities.
  • Maintain records of visa applications, expiry dates, and renewals.


Office Administration:

  • Oversee day-to-day office operations and administrative support.
  • Manage vendor relationships for office supplies, housekeeping, and maintenance.
  • Coordinate events, meetings, and employee engagement activities.
  • Ensure compliance with workplace policies, security, and facilities management.
  • Assist in onboarding and travel support for new employees and visitors.
