Overview and Responsibilities:
- Change Management is a practice within the Business Operations department, responsible for planning, implementing, and managing activities that drive the people side of organizational change.
- Min. 2x weekly touch-base meetings with Tenny Gillis (start and end of week) to discuss project updates and address any concerns.
- Participates in change management led calls, taking notes, and providing a recap after the meeting
- Assist in executing change management strategies and plans for projects and organizational initiatives, such as training, communications, and reporting.
- Document lessons learned from change projects and contributed to continuous improvement initiatives
Core Tasks:
- Document & Library Management:
- Updates user-focused documentation, including guides, FAQs, training manuals, and instructional materials to support change management and adherence to business policies and procedures
- SharePoint Management:
- Manage and update SharePoint sites to ensure information is current and accessible.
- Organize and maintain document libraries and other SharePoint resources.
- Provide support and troubleshooting for SharePoint-related issues.
- Training Management
- Maintains training project plan and keeps timelines are up to date
- Coordinate logistics and support for live training sessions, and other change-related events.
- Manages dentsu University training assignment requests by creating/updating assignment templates and works with Learning Ops to process requests
- Tracks progress by running dentsu University reports and updating existing excel workbooks
Skills:
- Strong Organizational Skills: Attention to detail and time management to coordinate multiple tasks and meet tight deadlines.
- Written Communication Skills: Ability to leverage pre-existing templates to craft visually appealing documentation and incorporate feedback to improve document quality.
- Basic Project Management Knowledge: Understanding of project timelines, objectives, and key deliverables.
- Data Management Skills: Basic ability to pull, organize and clean up data from various sources to assess change impact and adoption.
- Adaptative: Ability to handle shifts in project direction and quickly adjust when necessary.
- Problem-Solving: Ability to identify gaps in information and suggest improvements to documentation and presentation clarity.
Qualifications:
- Strong organizational and communication skills.
- Proficiency in Microsoft Office Suite, especially Word, Excel, and PowerPoint.
- Ability to work collaboratively in a team environment.
- Attention to detail and a proactive approach to problem-solving.
- Creativity in preparing tutorials
- Experience with SharePoint or similar content management systems (bonus)
- Agency Media knowledge or training module knowledge (bonus)
- Basic design skills to develop visually appealing and digestible collateral (bonus)
- Intermediary use of excel formulas and pivots, and ability to manage complex data sets (bonus)
