Position Summary

The Project Manager drives the successful delivery of Kantata implementations for both small companies and large enterprise customers, ensuring projects are completed on time, within budget, and to the client's satisfaction. This role acts as the primary point of communication between the Kantata project team and the customer, managing the project scope, resource allocation, and budget. The Project Manager is expected to take initiative, make independent decisions, and foster positive relationships while holding all stakeholders accountable to the project plan and schedule. This role involves managing multiple concurrent small-to-medium engagements, applying Kantata implementation methodology and using Kantata tools to drive success.

Primary Responsibilities

Project Delivery:

  • Scope Management: Lead the planning and execution of multiple small-to-medium enterprise projects (typically 14 months). Understand project scope, monitor progress against it, and manage tasks to ensure all deliverables are completed as required, raising risks and taking proactive steps to course-correct.
  • Change Control: Recognize deviations from the original project scope and follow the change control process in a timely manner to manage expectations and billing.
  • Schedule management: Lead the planning and execution of deliverable timelines. Manage tasks and dependencies to ensure timely delivery, raising risks and taking proactive steps to course-correct.
  • Financial Oversight & Budget Control: Monitor and manage project budgets, tracking actuals against forecasts to ensure delivery remains within financial parameters while protecting project margins.
  • Revenue Management & Forecast Accuracy: Maintain real-time revenue and fee projections within the PSA tool, proactively identifying and closing gaps between "locked-in" forecasts and actual performance.
  • Relationship Management: Establish and maintain positive relationships with clients and internal team members. Clarify roles, responsibilities, and dependencies to ensure seamless collaboration.
  • Risk & Issue Mitigation: Identify and report on risks, budget impacts, and schedule delays. Communicate and manage conflicts or technical challenges, leveraging the Delivery Manager for guidance and oversight when necessary.

Operational Excellence:

  • Resource Coordination: Ensure proper and adequate staffing for both Kantata and the customer teams, escalating resource gaps to leadership as necessary to prevent bottlenecks.
  • Process Compliance: Apply and champion the Kantata implementation process, holding both internal project team members and customer stakeholders accountable for required tasks and delivery commitments.
  • Stakeholder Communication: Identify the information needs of various internal and external stakeholders, providing tailored updates (i.e. project status reports) and ensuring all parties are aligned with project goals.

Leadership & Initiative:

  • Proactive Problem Solving: Take initiative by completing necessary tasks before being asked and making independent decisions on issues to keep project momentum. Identifying risks and escalating to senior leadership, as appropriate, to enlist assistance.
  • Customer Satisfaction: Ensure client expectations are consistently aligned with contract parameters and product capabilities to achieve high customer satisfaction ratings.

  • Multi-Project Management: Proven ability to manage 1015 concurrent, small-to-medium post-implementation projects, effectively balancing competing priorities and customer needs.

Core Skills

  • Consulting & Client Management:
  • Ability to manage client relationships, with both small corporations and large enterprises, and navigate organizational structures.
  • Strong conflict resolution skills and the ability to manage difficult conversations regarding scope and budget.
  • Project Governance:
  • Proficiency in project management tools and methodologies (e.g., Waterfall, Agile, or Hybrid).
  • Strong grasp of professional services metrics: utilization, margins, budget burn rates and revenue management.
  • Communication:
  • Excellent verbal and written communication skills for delivering status reports, executive summaries, and risk assessments.

Qualifications

  • Bachelor's degree in Business, Project Management, a related field, or equivalent practical work experience.
  • 3+ years of experience in a project management role, preferably within a SaaS Professional Services or Technical Consulting environment.
  • Familiarity with PSA (Professional Services Automation) tools or ERP systems is highly preferred.
  • PMP or CAPM certification is a plus.
  • Willingness to travel as required to meet with clients or attend internal team summits.
