About the Role
The Project Coordinator will support the Retail Projects team in planning, coordinating, and tracking end-to-end retail store expansion. The role involves working closely with internal teams, consultants, vendors, mall management, and Project Managers to ensure stores are delivered on time, within approved CAPEX, and as per Frido's quality standards.
Key Responsibilities
1. Project Coordination
- Coordinate retail store fit-out projects from site handover to store opening.
- Track project timelines and milestone-based execution.
- Follow up with Project Managers, architects, consultants, vendors, procurement, finance, and operations.
- Prepare Daily, Weekly, and Monthly Project Status Reports.
2. Project Documentation
Maintain and archive all project documents, including:
- LOI / Lease Agreement
- Possession Letter
- Approved Layouts & GFC Drawings
- BOQ
- Vendor Quotations
- PR & PO
- Work Orders
- Invoices
- Completion Certificates
- Store Handover Documents
3. CAPEX & Cost Monitoring
- Track project budgets against approved CAPEX.
- Maintain cost trackers.
- Coordinate invoice processing with Finance.
- Prepare cost summaries and variance reports.
4. Vendor & Consultant Coordination
Coordinate and monitor:
- Civil
- Electrical
- HVAC
- Fire Fighting
- Signage
- Furniture
- IT
- Branding vendors
Track material dispatch, deliveries, installations, site readiness, and vendor performance.
5. Project Tracking & MIS
- Maintain project dashboards and expansion trackers.
- Update project progress using Excel and project management tools.
- Generate weekly MIS covering:
- Project Status
- Delays
- Budget Status
- Risks
- Pending Approvals
- Store Opening Timelines
6. Site Execution Support
- Coordinate with site engineers and Project Managers.
- Track snag lists and ensure closure before handover.
- Support final store handover and project close-out documentation.
7. Cross-Functional Coordination
Work closely with:
- Business Development
- Design
- Procurement
- Finance
- Legal
- Operations
- Marketing & Visual Merchandising
- IT
Ensure all teams meet committed timelines for successful store launches.
Qualifications & Skills
Qualifications
- Bachelor's degree in civil engineering, Architecture, Interior Design, Construction Management, or related field.
- 35 years of experience in Retail Fit-Out, Store Expansion, Commercial Interiors, or QSR projects.
Required Skills
- Retail fit-out & store execution knowledge.
- Strong project coordination & follow-up.
- Advanced Microsoft Excel.
- MS PowerPoint & Word.
- AutoCAD & BOQ understanding.
- ERP knowledge (preferred).
- Communication & stakeholder management.
- Multi-project management.
- Strong documentation & reporting skills.
