Job Title : Payroll Executive


Location : Mumbai


Job Summary


The Payroll Executive is responsible for processing employee payroll accurately and on time while ensuring compliance with statutory regulations, company policies, and payroll procedures. The role involves maintaining payroll records, handling employee queries, managing statutory deductions, and coordinating with HR and Finance teams to ensure seamless payroll operations.


KEY RESPONSIBILITIES


Payroll Processing

  • Prepare and process monthly payroll for all employees accurately and within prescribed timelines.
  • Verify attendance, leave records, overtime, incentives, reimbursements, and other payroll inputs.
  • Calculate salaries, deductions, bonuses, incentives, and final settlements.
  • Ensure accurate processing of new joiners, resignations, transfers, promotions, and salary revisions.

Statutory Compliance

  • Ensure compliance with applicable labor laws and statutory requirements.
  • Process and maintain records related to Provident Fund (PF), Employee State Insurance (ESI), Professional Tax (PT), Labour Welfare Fund (LWF), Income Tax (TDS), and other statutory deductions as applicable.
  • Coordinate with government authorities and auditors for payroll-related compliance requirements.

Payroll Administration

  • Maintain and update employee payroll data in HRMS/payroll software.
  • Generate salary slips, payroll reports, bank transfer statements, and management reports.
  • Reconcile payroll data with finance and accounting records.
  • Maintain confidentiality of employee compensation information.

Employee Support

  • Address employee payroll-related queries and concerns promptly.
  • Assist employees with tax declarations, investment proofs, and payroll documentation.
  • Provide payroll-related reports and certificates as required.

Reporting & Documentation

  • Prepare monthly payroll summaries and MIS reports.
  • Maintain payroll records and supporting documents for audit purposes.
  • Assist in internal and external payroll audits.

Required Qualifications

  • Bachelor's degree in Commerce, Accounting, Finance, Human Resources, or a related field.
  • Additional certification in Payroll Management, HR, or Accounting is preferred.

Experience

  • 25 years of experience in payroll processing and payroll administration.
  • Experience with payroll software and HRMS systems is preferred.

Required Skills & Competencies

  • Strong knowledge of payroll processes and statutory compliance.
  • Proficiency in MS Excel and payroll software.
  • Understanding of labor laws, PF, ESI, PT, TDS, and payroll taxation.
  • High level of accuracy and attention to detail.
  • Strong analytical and numerical skills.
  • Good communication and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong organizational and time-management skills.

  • Timely and accurate payroll processing.
  • Compliance with statutory and tax regulations.
  • Payroll error rate and reconciliation accuracy.
  • Employee query resolution turnaround time.
  • Accuracy of payroll reports and documentation.
  • Successful completion of payroll audits without major observations.

Employment Type: Full-Time
