Job Description

Manager:

Role Description: The primary objective of a manager is to assist with the execution of family office operations services by overseeing staff training, work planning, communication with all the stakeholders, drive improvement initiatives. Customer satisfaction and employee satisfaction are key success criteria. A Manager is also responsible for maintaining books and records of client investments in hedge funds, private equity, and personal assets.

This role will have defined sets of activities to manage which are broadly categorized as below.

The outcome for individuals against the categories above is measured via C-sat, E-sat, attrition, and employee growth.

Job Description:

  • Supervise the daily operational tasks and ensure the efficient running of the team.
  • Manage the periodic governance calls with clients and other stakeholders.
  • Requires deep knowledge of the family office and finance operations
  • Participate in recruitment activities as well as initiate the performance development training programs.
  • Ensure adequate staffing is available.
  • Perform quality controls and monitor production KPI.
  • Perform financial analysis for business development opportunities and special projects.
  • Identify improvement opportunities within the process and provide recommendations regarding the evolution of the system.
  • Determine ways to increase the quality of customer service and implement best practices across all levels.
  • Produce reports, timelines, and graphics to communicate expectations and progress to management, clients, and other relevant parties.
  • Manage the JIRA ticketing system and collaborate with other functional areas in the prioritization.
  • Ensure the process flows, SoW, and other business documents are updated periodically with version control.
  • Management of budget in coordination with the Director.

Additional Job responsibilities:

  • Understand Cash Movements on daily basis
  • Understand large value transactions - Cash accounts or on Credit Card on the day
  • Identify the reasons and rationale of changes if any
  • Pull, read and analyse Portfolio movement for the day
  • Ability to set up the client specific tax accounting module in compliance with different geographies and jurisdictions
  • Understand and prepare the books for each type of deliverables (Tax Return/ Tax Ledger/Form 1099/ Partnership accounting/Basis Calculation and others) as per Client SOP
  • Identify breaks and data discrepancies before sending for final review with the tax and/or performance reporting team
  • Ensure Investment Reports accuracy
  • Ensure Client Commitments are tracked and met
  • End-to-end process governance for cash, portfolio, and reporting workflows across multiple teams/accounts
  • Ensure high-quality analysis of large transactions and portfolio movements, with focus on risk identification and mitigation
  • Drive standardization and continuous improvement in tax accounting module setups across geographies
  • Act as a key stakeholder interface for internal teams (Tax, Reporting, Operations) and Client Managers
  • Establish strong break identification and resolution mechanisms before final review stages
  • Own investment report accuracy at team level, ensuring all outputs meet quality benchmarks
  • Monitor and drive client commitment adherence, including timelines, SLAs, and deliverable quality


Position requirement:

  • 10-12 yrs experience* in the Operations domain
  • Bachelors degree in commerce or MBA in Finance or CMA/CA
