What Youll Be Doing (position summary):

The Facility Manager provides administrative and operational support to ensure the efficient functioning of building facilities. This role involves coordinating maintenance, managing office services, and assisting in workplace safety and compliance initiatives.

How Youll Succeed (responsibilities):

  • Serve as the first point of contact for all facility-related inquiries and service requests.
  • Coordinate routine maintenance and emergency repairs with vendors and service providers.
  • Monitor building security, cleanliness, and safety standards.
  • Track inventory and order office and facility supplies as needed.
  • Assist in managing office moves, furniture setups, and space planning.
  • Maintain records of maintenance schedules, vendor contracts, and compliance documentation.
  • Support health and safety compliance efforts, including inspections and audits.
  • Communicate with staff regarding facility-related updates and issues.
  • Provide administrative support to the Facilities Management team at assigned Facilities.
  • Provide timely and accurate completion FM reports pertaining to assigned Facilities.
  • Be accessible for escalation of all FM related issues.
  • Ensure planning and execution of all preparation required for Conferences / meetings of the client as well as VIP visits scheduled during the shift.
  • Oversee the Mailroom process.
  • Oversee the Front Office function ensuring visitors are promptly attended by the Front Office Executives (FOE).
  • Take rounds of the front office and lobby to ensure high standards of housekeeping and upkeep.
  • Oversee the Housekeeping Services and service delivery of the housekeeping vendor.
  • Coordination meetings with vendor for resolution of service issues.
  • Oversee Cafeteria Services & vendor.
  • Ensure that the caterers are maintaining highest standards of hygiene in the services area.
  • Ensure that the quality and quantity of the food supplies are meeting the requirements.
  • When the food supplies run out, escalate the matter to the caterer's management immediately and make swift alternate arrangements. In such a scenario communicate with the users and provide alternate solutions.
  • Overall coordination with all service providing vendors.
  • Take rounds of the facility regularly to identify issues in Housekeeping, Maintenance, Cafeteria etc. and initiate immediate rectification actions.
  • Prepare weekly shift rosters for Front Desk and communicate in advance to the staff and transport division.
  • Coordination with corporate security to ensure proper access to the facilities for employees and visitors.
  • Oversee and maintain security systems, fire safety measures, and emergency response plans, ensuring they are up-to-date and effective.
  • Provide vendor management services i.e: Transportation, Food and Beverage etc.
  • Ensure that transportation is meeting employee needs and aligned to legislative requirements where needed.
  • Liaise with both transportation provider(s) and corporate security to ensure provision of transportation security escort where required.
  • Support with any transportation escalations as needed.


Experience: 5+ years of experience

  • Strong ability to engage effectively with internal and external stakeholders, including management, employees, vendors, and contractors.
  • Robust knowledge of local, state, and national regulations, with a commitment to continuous learning and adaptation.
  • Extensive networking experience within the local market, with a deep understanding of the real estate leasing landscape.
  • Demonstrated expertise in the multifaceted domains of real estate, facilities, and HSE management.
  • Unwavering integrity, credibility, and adeptness in fostering and managing client relationships.
  • Willingness and ability to travel as needed.
  • Exceptional verbal and written communication skills, combined with flexibility and a collaborative mindset.
