Job Description
Now Hiring - Bid coordinator
Electrical quantity takes off Preparation of BOM.
Costing/pricing
Maintain ITB tracker (sent out Invitation to bid various vendors based on trades involved)
Identify potential vendors for the job.
Preparation of change orders based on scope changes
Value engineer pricing.
Identify the exclusion and inclusion based on the constraints in the drawings and add to proposal(Qualifications)
Proposal writing
Receive, review, and analyze incoming RFPs to determine requirements, deadlines, and scope of work.
Coordinate bid kickoff meetings with relevant stakeholders to discuss bid requirements, timelines, and responsibilities
Develop and maintain a bid schedule/calendar to ensure timely completion of all bid-related tasks and submissions.
Collaborate with sales, marketing, and technical teams to gather necessary information and resources for bid preparation
Prepare and assemble all required bid documents, including proposals, pricing, technical specifications, and other supporting materials
Ensure that bid submissions are compliant with client specifications and adhere to all necessary regulations and standards.
Manage communication with clients and external partners throughout the bid process, including responding to inquiries and clarifications.
Maintain a centralized database of bid-related documents, templates, and historical data for future reference.
Monitor and track bid outcomes, including win/loss ratios, to identify areas for improvement and optimize future bid strategies.
Production and delivery of compliant professionally produced proposals within customer defined timeframes.
Coordinate proposal input from a variety of stakeholders
Champion collaboration tools, document management and version control best practices.
Ensure proposal documents follow corporate branding guidelines, standard formatting and quality standards.
Provide advice on flow, language and grammar to content owners.
Consolidate sections and/or documents developed by others team members into the required tender format.
Ensure the maintenance, accessibility, and backup of master document sets
