About the Role
We are looking for a highly organized and proactive Admin & Service Coordinator to manage and streamline our Annual Maintenance Contract (AMC) operations. The role involves coordinating between clients and service teams, ensuring timely service delivery, and handling essential administrative functions.
This is a critical role that directly impacts client satisfaction and operational efficiency.
Key Responsibilities
1. AMC Client Management
- Maintain and manage AMC client database (contracts, scope, timelines, renewals)
- Schedule preventive maintenance visits as per AMC agreements
- Act as the primary point of contact for AMC clients
- Ensure timely response and closure of service requests
- Track AMC expiry and coordinate renewals
2. Service Coordination
- Assign daily service calls to technicians based on priority and location
- Monitor service team schedules, attendance, and productivity
- Follow up with engineers for job completion and reporting
- Ensure proper closure of service calls with reports and client sign-offs
- Escalate delays or issues proactively
3. Documentation & Reporting
- Maintain service reports, job cards, and AMC records
- Prepare daily / weekly / monthly service reports
- Maintain logs of complaints, resolutions, and pending issues
- Support preparation of invoices and service documentation
4. Administrative Support
- Handle general office coordination and clerical work
- Maintain vendor and client records
- Assist in quotation follow-ups and basic coordination with clients
- Manage emails, calls, and internal communication
5. Process Improvement
- Identify gaps in service coordination and suggest improvements
- Help implement systems for better tracking and efficiency (Excel/CRM/tools)
Required Skills & Qualifications
Education
- Graduate in any field (Commerce / Management preferred)
Experience
- 05 years experience in:
- Service coordination / operations
- AMC management (preferred)
- Admin or back-office roles
Key Skills
- Strong coordination and multitasking ability
- Excellent communication skills (verbal & written)
- Good command over MS Excel & email communication
- Ability to handle pressure and prioritize tasks
- Attention to detail and follow-up discipline
Preferred Profile
- Experience in electrical / technical services / facility management companies
- Familiarity with AMC contracts and service workflows
- Basic understanding of technical service environments
- KPIs / Success Metrics
- Timely scheduling and completion of service calls
- AMC compliance and zero missed maintenance visits
